Job Description

We are looking for a Front Desk Officer who not only manages reception duties and administrative tasks but also has a strong understanding of social media management. The successful candidate will be the first point of contact for visitors and clients while also contributing to the company’s online presence by managing social media accounts. This individual will play a vital role in ensuring smooth day-to-day office operations and supporting the company’s marketing efforts.

Key Responsibilities:

  • Reception Duties:
    • Greet visitors and clients warmly, ensuring they feel welcomed.
    • Answer and direct incoming phone calls in a professional and courteous manner.
    • Respond to inquiries via email, phone, and in-person, providing accurate information.
    • Maintain a neat and organized reception area to present a professional image.
    • Manage appointments and visitor logs.
  • Administrative Support:
    • Perform administrative tasks such as data entry, filing, photocopying, and document preparation.
    • Receive and distribute mail, packages, and deliveries.
    • Assist in scheduling meetings, managing calendars, and arranging travel.
    • Maintain office supplies inventory and reorder as needed.
  • Social Media Management:
    • Assist in managing the company’s social media platforms (e.g., Facebook, Twitter, Instagram, LinkedIn).
    • Create engaging posts, respond to comments, and monitor social media activity.
    • Collaborate with the marketing team to implement social media strategies and campaigns.
    • Track social media metrics and assist in reporting on performance.
    • Stay updated on social media trends to enhance online engagement.
  • Customer Service:
    • Provide information about the company’s services and products to walk-in visitors and callers.
    • Handle customer inquiries and complaints, directing them to the appropriate department if necessary.
    • Ensure that clients and visitors are attended to promptly and professionally.
  • Office Coordination:
    • Track staff attendance and ensure records are accurately maintained.
    • Help with event planning and logistics for company meetings and special events.
    • Coordinate with various departments to support the smooth running of office operations.
  • Security & Access Control:
    • Ensure proper access control by issuing visitor badges and monitoring the entry and exit of staff and visitors.
    • Maintain a secure and organized reception area.

Qualifications and Skills:

  • Minimum Qualification:
    • Ordinary National Diploma (OND) or equivalent in any field.
  • Experience:
    • 1-2 years of experience in a front desk, reception, customer service, or social media role is preferred.
    • Previous experience in social media management is an advantage.
  • Skills:

    • Excellent verbal and written communication skills in English.
    • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint).
    • Knowledge of social media platforms and content creation.
    • Strong interpersonal skills and the ability to multitask.
    • Well-organized and detail-oriented.
    • Experience with basic social media tools (e.g., Hootsuite, Canva) is a plus.
